Appointment Policies
Our goal is to provide timely, high-quality mental health care while respecting the schedules of all patients. The following policies help us deliver efficient and compassionate care.
Scheduling Appointments
Appointments may be requested online, by telephone, or by email. Appointment requests are confirmed based on provider availability.
Telehealth Appointments
Seraphic Healthcare Services primarily provides mental health services through secure HIPAA-compliant telehealth technology.
Patients should:
- Join appointments from a quiet, private location.
- Have a reliable internet connection.
- Use a device equipped with a camera and microphone.
- Log in approximately 10 minutes before their scheduled appointment.
New Patients
Prior to the initial appointment, patients are asked to complete all required registration forms, provide insurance information (if applicable), submit a valid photo ID, and complete any required consent documents.
Failure to complete required paperwork before the appointment may result in delays or rescheduling.
Insurance and Payment
Patients are responsible for any applicable copayments, deductibles, coinsurance, or balances not covered by their insurance plan.
Self-pay patients are expected to make payment at the time services are provided.
Cancellation Policy
If you need to cancel or reschedule your appointment, please notify our office at least 24 hours in advance whenever possible.
No-Show Policy
Missed appointments without appropriate notice prevent other patients from receiving care.
Patients who fail to attend a scheduled appointment without prior notice may be charged a no-show fee in accordance with our office policy.
Late Arrival
Patients who arrive significantly late may need to reschedule their appointment if there is insufficient time remaining to provide quality care.
Prescription Refills
Prescription refills are generally provided during scheduled follow-up appointments as part of ongoing medication management.
Patients should request routine refills before their medication supply is exhausted.
Medical Records and Forms
Medical record requests, FMLA documentation, disability forms, ESA letters, and other administrative requests may require additional processing time and applicable administrative fees.
Emergencies
Seraphic Healthcare Services does not provide emergency or crisis intervention services.
If you are experiencing a medical or psychiatric emergency, call 911 immediately or go to your nearest emergency department.

Policy Updates
Seraphic Healthcare Services reserves the right to modify these policies as necessary. Updated policies will be posted on our website.
